January 2004 Minutes

Hello, Rob here.

These are the minutes for the Jaunary meeting. If I have made any mistakes or omissions please bring them to my attention and I will fix them.

ShaunCon
ShaunCon will be held at the Blue Ridge Mall. They changed their price back to the original $1500.

We discussed event fees for Tournaments at ShaunCon. It was generally accepted that the current procedures worked. We do need to publicize them earlier and more clearly. A final vote on the policy was delayed so that we can get the opinions of 31st Century Games.

Weekend in Dyvers
We still had no information on Weekend in Dyvers. Anyone with any information needs to please contact the Guild officers right away.

GenCon Volunteer Program
We have still not had a reply from WOTC on the program. John Hinkle will be sending another email next week. It was decided that we need an answer from WOTC before pre-reg opens for GenCon on February 16th. A number of people who have worked in the past have stated that they will not be working this year or that their plans to work are dependant on the type of response we get from WOTC. It was agreed though, that the program is useful to a number of members and we should try and at lease maintain the option for individual members to volunteer. It was also agreed that 'Omega Virus' is an evil game.

Nominations for Scribe
Nominations for the Office of Scribe were opened at this meeting. Bob Bellamy accepted a noimination. Nominations will be open until just prior to the election at the February meeting.

Bulletin Board
It was voted that we will be leaving Yahoo Groups and move to a private message board. After much discussion it was decided that vBulletin was the most promising. Shaun Horner will head a commitee to determine if vBulletin will work with our existing web site and if it will fit in with future plans. The commitee is expected to announce their decision at the next meeting and begin testing as soon as viable. See Shaun's posts on the group to get more up todate information.

Guild Officer Duties
A print out of the current officer duties was presented and checked for accuracy. The membership agreed that it looked correct. This opens the door to possible restructuring of offices in the future.

Support our Troops
John Hinkle has asked Guild members to collect books and movies to send to our troops in Iraq. If members can get these at the March meeting he will take them to a military post office and they will ship them to Iraq. Todd Wallen who has attended a good number of our conventions is currently stationed in Iraq. These books will be sent to him and he will then distribute them to his men.
